Integrating Small Business VOIP With CRM

Close top 80% of large businesses have adopted VoIP and some of them are leaders and trend setters. At the same time, small business VoIP is also getting popular and the adoption rate in increasing daily. But just adoption is not enough. The new technology has to be integrated into your daily business activities.

Voice over Internet Protocol (VoIP) and Customer Relationship Management (CRM) can be interconnected or integrated with each other in an effective way to manage your interactions with customers in a more effective way.

Not only does this integration or connectivity between the CRM and small business VoIP make management of contacts easier with a customer, but it is also a cost-effective value addition that improves the performance of the CRM department.

Proper connectivity between the CRM and the small business VoIP results in better business-related communications with the customers. This helps the businesses to have an edge over its competitors. Though there are some businesses that have still not integrated or interconnected the two technologies, a vast majority of them have taken advantage of the available solutions that bind these two altogether different communication systems together.

The interconnectivity between small business VoIP and CRM has a number of positive aspects. Let’s discuss them one by one.

Much Better Efficiency

By interconnecting CRM with small business VoIP, a business can effortlessly improve its aspects of automation in every stage of its operations. Besides, it will be able to eliminate some unnecessary steps, when it comes to feeding in data into the system, thus making the entire system less cumbersome and more streamlined. There are a number of value added features that eliminate the probability of mistakes as well as obliterate some highly time-consuming data entry steps by the customers. This can add up to a considerable time as well as improved efficiency, which ultimately translates into increased sales revenue through better time selling.

Better Customer Interaction Through Small Business VoIP

Through a better connectivity of the CRM with small business VoIP, the companies will be able to collect call logs as well as call recordings. This information will help the sales staff to scrutinize the calls and understand from where they are made, or, the timing and duration of the calls. Besides, since they have full access to the call recordings, the sales staff can get more information by replaying the calls and learning every demand of the customers and what steps were taken to resolve their demands or queries.

Better Management of Employee Activities

Thanks to inter-connectivity between CRM and small business VoIP, managers are today able to keep a watch on their salesman, their performance, and activities. By the integration of the two technologies, the management can easily evaluate the performance level of the sales staff at any given point or level. Thus, it will help them to improve their level of performance and help the management in taking disciplinary actions, providing sales coaching to the newcomers, and even giving out rewards and recognition.

Better Management of Remote Staff

With most of the companies looking forward to decreasing costs, there is a certain sect of service providers who would try to adopt a common trend of moving the employees to virtual business units as well as putting them under work from home management. The two biggest challenges in doing so – managing the productivity and effective synchronization between the employees can be overcome by an effective integration of the two technologies. With the successful integration of the two systems managers of businesses with multiple business units scattered over various cities or even countries are able to put the system and the operation aspects of each of these business units under one umbrella.

Big Data & IP Mobile Networks

In this article we will be looking at IP Mobile Networks and Big Data.

Big data is a holistic term, which includes a wide variety of new methods and technologies. These are are designed to collect, manage and, analyse an incredibly large volume of data in real time.

Of late, this has been considered as a buzzword in the financial sector. The financial and stock market need to crunch large amounts of data for predictions and forecasts.

Another set of people who are affected by this term in real life is the network operators. From that point of view, it is the IP mobile network operators who can realize the potential of big data to the fullest. The zillions of bytes of data that are a part of the global communication traffic need to be channelled and managed in a proper way.

Big Data Opportunities in IP Mobile Networks

Let us discuss why big data is so important for in IP mobile networks. The simple answer to this question is that it promises growth and profitability in a number of ways:

  • Optimization of quality of service by superior analysis of network traffic
  • Preventing fraudulent behavior by effective analysis of all call data
  • Superior customized marketing campaigns for each and every customer, on the basis of location as well as behavior
  • Developing new services and products based on analysis of the customer behavior
  • Big data is useless unless and until there in an effective analytical tool for interpreting the data, for reducing the cost and, improving the level of customer satisfaction.

The Way The Big Data Is Used

The IP mobile operator has to use specially designed processes in order to capture a colossal amount of daily information. These records are subsequently processed for extracting the necessary metrics and analyzing them. In addition, data and their analysis have to be randomized in order to free them from private details of the subscribers.

The data thus collected is then subsequently used for the generation of a large number of matrices that are used to understand user behavior.

Privacy And The Security Of Customers

IP Mobile networks are extremely skilled and they have tremendous knowledge of the behavioral patterns of their customers. When the term, ‘behavioral pattern’ is used, it refers to the browsing and other habits, as well as the physical location of customers. They have access to the content of text messages sent and received as well as details of posts on the social network. When it comes to selling and managing this data for commercial use, optimal level of privacy and security have to be maintained. Rules are set by governments that prohibit the use or dissemination of private data. These rules are stricter in the medical field.

The Challenges of Big Data in IP Mobile Networks

There are a number of challenges in the way of handling this huge amount of data, more so when it comes to handling the quantity, diversity, and the complexity of the data in a seamless and meaningful fashion.

The Quantity: After the introduction of 4G IP mobile networks, there has been a huge surge in data that is generated by customers in social as well as by other medium like video and audio, etc.

The Diversity: Various gadgets equipped with cutting edge technology are generating huge amounts of traffic in a wide range of ‘never before experienced’ data formats. This means that each and every data format needs to be effectively and meticulously organized as well as structured for effective analysis.

The Complexity: The more the volume and data formats, the more complex is the process of handling big data. Effective channelling of the data for maintenance of integrity and quality become more complicated.

It is pretty clear that the big data is extremely influential for mobile IP network operators. Big data provides an opportunity for better understanding of the network and the nature of service that it provides to the subscribers.

4G & Mobile VoIP

Will 4G affect Mobile VOIP?

Thanks to the startling development of VoIP based telecommunication technology, customers today are able to make telephone calls at fraction of the cost of the conventional mobiles, irrespective of the distance.

This has been a phenomenal achievement in telecommunication, and, with the passing of each day, the technology is being bettered and made superior for more seamless and quality communication between two or more individuals all over the globe. In the pursuit of better and better quality communication, 4G or fourth generation of mobile communication technology is being introduced. Experts are of the belief that this will affect the Mobile VoIP technology based telecommunication in a big way.

There are a number of advantages that 4G will deliver. The introduction of 4G provides notably greater range in the LAN access than WiFi. While the WiFi runs via radio waves and has a limited range of only a few hundred feet, 4G runs on high frequency microwaves, and hence it provides seamless LAN access over huge distances, measured in terms of kilometers.

The ITU or the International Telecommunications Union has stipulated the standard rates of 4G data at not less than 100 megabits/sec, while the users are on move and 1 gigabit per second while static or stationary. This is much better than the current 3G data rates and will mean faster rate of data transfer and hence better communication.

Most of the companies are on the verge of implementation of the Long Term Evolution (LTE) upgrades into the existing networks. Both LTE as well as 4G are based on packed switch technology instead of circuit switch technology. This means, unlike the present day setup, there will be no separate networks for voice data. This will further augment the quality of the VoIP based communication system.

4G should also enhance the efficiency of the communication system. Security will be enhanced with built-in mechanisms such as mutual authentication.

4G is backwards compatible. Users will very much be able to interface with the previous, older 3G based networks effortlessly, besides being able to connect with the other 4G networks as well as LTE based networks. Alternatively speaking, if any user is looking forward to make a call to someone who is still using a 3G network, the person can get in touch with that individual without any problem whatsoever.

In nutshell, by increasing the speed, quality, reliability and security of the mobile based VoIP calls, once introduced, 4G is all set to attract a plethora of new customers. Since 4G will be entirely based on IP network, it will smear if not eliminate the borderline between traditional voice and the VoIP based telephony.

History of Mobile VoIP

Mobile VoIP or, mVoIP, can be termed as an extension of the VoIP based network. There are two types of communication systems that are normally supported. One is the cordless/DECT/PCS protocols that are designed for shorter ranges or campus based communication. The second is an extension of mobility through 3G/4G protocols for the wider area communication network.

However, whatever is seen today has not been achieved overnight. It took decades of research and experiment to reach at this stage.

It all started in the summer of 2006, when a Session Initiation Protocol (SIP) stack saw the daylight for the first time, along with a VoIP client in Nokia Wi-Fi mobiles. End users client were later on was introduced to a series of dual mode Wi-Fi mobiles, the most notable amongst them was the Nokia N95 that was immensely popular in Europe. This was, literally, the first step in mobile VoIP.

The trend continued through 2007. The year 2008 saw the introduction of built in SIP-VoIP client in the Nokia 6300i, which ran Series 40 Operating system. The same year also saw the introduction of the further updated model of SIP-VoIP client in Forum Nokia.

In the following year – 2009, OpenWRT, the GNU/Linux based firmware program became compatible with the mobile based VoIP applications, through Asterisk, which can run on a USB stick. OpenWRT can run on most of the Wi-Fi routers. This drastically expanded the reach of the mobile VoIP applications. This opened mobile VoIP to a wider market.

Then, in the year 2010, Apple updated and improved the iPhone development Software Development Kit (SDK) over the various mobile networks that were operational at that time. iCall subsequently became the very first App Store to introduce VoIP on iPhone and iPod Touch on 3G networks, meant for mobile phones. Because of the immense popularity of Apple products, mobile VoIP took a solid position.

In the same year, towards the later, half Nokia came up with 3 new dualmode Series 40 handsets that were WiFi capable and supported HD voice.

2011 saw the introduction of a wide range of mobile phones and iPhones with the inbuilt SIP VoIP along with 6 types of cordless handsets, which complimented the popular KX-TGA model analog phones.

In late 2011, Nokia Asha 303 was introduced with the integrated SIP-VoIP client that could operate both with 3G as well as the WiFi networks.

The following 2-3 years saw further development of technology and introduction of highly developed smart phones with inbuilt VoIP technology. By September 2014, mobile enabled VoIP or VoLTE was introduced by T-Mobile and by AT&T Mobility.

In the future, the VoLTE designed and developed by Verizon Wireless is likely to allow features like video sharing, file transfers and chat functionality.

4 VoIP Enhancements

VoIP EnhancementsWith the arrival of Voice over Internet Protocol (VoIP), communication network has undergone an absolute transformation in terms of technology, efficacy and usability. In addition, the overall cost of communication has also drastically come down. Such was the impact of this new technology that every business house, including smaller ones, vied for this new technology over the conventional communication over phone. Businesses as well as consumers were absolutely intrigued by the uniqueness of this new technology and frankly speaking, it was the introduction of VoIP technology that impacted the introduction of the concept of business process outsourcing to a great extent. The business fraternity found an array of productivity enhancements in VoIP and this has made the lives of the end users and the employees easier and more efficient, which has subsequently influenced the productivity in a positive way as well.

Here are the 4 VoIP enhancements that have made it such an appealing choice for the business fraternity.

Mobile Access

This is one of the most innovative VoIP enhancements that has made the technology so much adored and acceptable to clients today. This particular productivity enhancement feature helps the end users to access office phone system in a number of ways while they are on move. This gives them the option of using a mobile app or a softphone that is hooked up with a laptop, and checking voicemails, send and receive calls, and even set an out-of-the-office greeting. If the regional or international offices of a company are connected to the VoIP system of the company, it is possible to get connected with the office with the help of a handset. This technology is particularly convenient for professionals who are constantly travelling, and for the companies which have a mobile workforce or a large number of workers working from home.

Outbound SIP Call with Call Agent Mode

Call Agent Mode (CAM) is one of VoIP enhancements that allows dynamic switching of the media streams on or off the CSP RTP channels, with a negligible amount of SIP messages.

Before the advent of this new feature, the CSP used to support the bearer on or off switching of the Call Agent Mode for only inbound calls. The CSP is designed to hook up the inbound leg of a SIP call with a TDM network or with a DSP media service.

This functionality provides the caller the unique option of connecting to an operator in a particular PSTN network. Besides, it also supports the application of DSP services like playing recorded announcements to the inbound leg of the call.

Option of Sending and Receiving SIP Signals using the Same Port

Before the advent of VoIP enhancements, CSP used to receive the inbound SIP signals on a particular User Datagram Protocol (UDP) port. Generally, it was port 5060 by default. It was not possible to change the receiving port at run time.

All the outbound SIP signals used to be sent out on a specific UDP port that was allocated by the CSP at the time of configuring the SIP. The port that was used for handling the outbound SIP signalling from the CSP generally remained constant till SIP was deconfigured.

However, with the introduction of this additional feature as part of VoIP enhancements, the CSP is now capable of sending as well as receiving SIP signals by using the same port as per the configuration set by the host.

Read and Write Access to Contact Header

With the introduction of this feature as part of VoIP enhancements, it is now possible to read as well as write certain fields like Contact Display Name, Contact Parameters, and Contact Username, in the contact header. This gives you the ability to fine tune your contacts to your liking.

Maximize ROI With SIP Trunking

SIP TrunkingCompanies operating in a competitive market are always on the hunt to find new and innovative technologies that can whittle down their operational costs. SIP trunking has slowly turned into an industry darling as this technology cuts down the communication costs and at the same time enhances the functionality and features of the existing telecom infrastructure. In a recent survey published by Infonectics, several companies have claimed to have implemented SIP trunking. It has also been predicted in the survey that by the end of 2016, 75% of the businesses would have already switched to SIP trunking and the market is predicted to touch the $18 billion mark by the year 2018.

Migrating from the traditional communication systems to SIP trunking shows the benefits every organization is going to enjoy. Some of the major benefits that organizations can expect to leverage are improved reliability, centralized trunking, better service changes and quicker deployments. All the aforementioned benefits will ultimately lead to huge cost savings that could be anything between 30 and 60 percent on the existing systems. However, there are a few challenges that have to be overcome before every organization can experience optimal benefits of SIP trunking. Here is a list of 5 SIP trunking considerations to maximize your ROI:

1. Location:

You will have to be very careful about the location or the country where the SIP trunking is deployed. Deployment of SIP trunking within any country is not a very challenging task however when it comes to international deployment, you will have to work with third-party carriers. Now, you will have to get in touch with your service provider to learn about the relationship they share with the third-party providers at the key locations.

2. Averting Disaster:

Every company that uses SIP has to device a policy for averting disaster as it can cause long term problems and losses. While trying to choose on-premise or cloud-based disaster recovery, every organization needs to understand the impact on their business if there is a power loss or last mile connectivity loss.

3. Traffic Analysis:

Every SIP trunking system comes with the standard monitoring feature. However, it is very important for an organization to add the session border controller as the point of demarcation for the organization and the service provider. This even gives the administrators an opportunity to set triggers for the billing segmentation and limit thresholds.

4. The One Number Game

Majority of the businesses that are going mobile are using one number facility. Though this has made it extremely easy for the customers to reach the business by dialling only a single number. However, there are a few businesses that are even providing additional channel to their customers in the form of SMS service. This too has to be considered by the organizations that intend to tap into new markets.

5. Recording the calls:

Calls are often recorded by organizations and this is particularly prevalent in the calls centers where it is extremely helpful to record the customer calls. However, experts believe that three factors need to be decided upon before availing this feature – the investment, the recorded calls sensitivity and how quickly the record can be retrieved.

Mobile Phone and Business App Integration

The day-to-day communications at the office has undergone a sea of change since the introduction of Cloud telephony. We are not used to making calls from our mobile phones by clicking on any app. With VoIP, everything is a session that runs from an application. We can even receive our voicemails, fax messages, and even check the presence of others on the same network – courtesy of the different types of apps that help integrate VoIP on our mobile phones. Now, communication is being powered through the integration of business apps that include VoIP. Communication systems are able to take advantage of availing real-time data from business apps and all this can be easily done from our mobile phone or smartphones.Mobile Apps Integration

Unified communication solutions are being deployed in several organizations as they implement their policy of integrating communications tools, applications and business apps on a common platform. Communication is being easily powered by real-time data fetched from the integrated business apps. For instance, whenever a customer calls the company, the executives receiving the calls can get complete details of the customer on their screen. Thus, they are in a better position to answer or make an upsell during customer calls. The agents receiving the calls can easily and efficiently handle customer issues and this helps the company impress the clients with the level of customer care service they provide.

The unified communications (UC) available in the market can all be integrated with the business applications. Data pertaining to various business processes are fed into the system on a regular basis and all this data is stored in a central database. When UC is integrated with business applications, various data pertaining to different business processes can be fetched from the central database for use during communication.

Some of the prominent benefits of integrating mobile phone and business app are:

Efficiency

Your employees will be able to focus on core business processes, as it would not take more than 2 to 3 seconds to call a particular number. Thus, they would be able to collaborate with other departments, colleagues, business associates and clients without losing too much time. This would eventually make every business activity more efficient. The overall advantage of a rise in efficiency will be reflected in the form of satisfied customers and higher productivity.

Service

You and your employees will be in a better position to provide efficient and quick service to the clients because all necessary info about a caller will be visible on the screen. So, every time a caller calls, prior to answering the call you will be shown the appropriate information about the customer. This feature will be available when you are either receiving or making calls from your mobile phones. Even when your employees are away from their desks, they can benefit from information pertaining to the callers or the clients they are going to call.

Transparency

Business heads and managers will be able to keep an eye on all the critical business metrics from their mobile phones as they are able to combine the data between the business applications and phone systems. They would be able to track the performance of the sales, service, and various other business operations without any hassle.

Automation

The call records are all automatically fed into the system and the process is completely automated. So, your employees are able to work freely with clients and business associates. They will also be equipped with all the analyses and reports before communicating with the clients. All this provides your business with the edge you need to outwit your competitors.

Why You Should Adopt VoIP

For a long time, the traditional telephone system was the only option for the business organizations for managing their communication system. With the advancement of technology and increasing popularity of Internet, Voice over Internet Protocol (VoIP) became a mature choice. Since then, majority of large as well as small business organizations opt for VoIP technology as the primary business communication tool. With many aspects of modern business operations which are tilting towards Internet-based environments, it only makes sense to adopt a VoIP system that works on the same networking.

By selecting a VoIP service provider who can handle a variety of communication tools such as voice calls, unified messaging, video calling and mobile resource management, organizations can easily reduce their expenditures and increase productivity.

The main aim of a business organization is to reduce unnecessary expenditure, increase productivity as well as managing employees, clients and stakeholders. All these features cannot be brought under a single platform in case of a PSTN connection. As a result the popularity and utility of PSTN connection is slowly eroding.

Proper communication system embedded with useful features is very much important. There are several reasons why you should adopt VoIP, if you have not already done so.

Affordable costs

The overall cost of a VoIP business telephone is cheaper when compared to that of a PSTN. Traditional telephone systems require expensive equipment such as EPABX, separate wiring, and many times a telephone operator. In the best case VoIP technology, the equipment can be hosted in the cloud and hence, there is nothing to bother about tangled wires and bulky equipment. You are also saved from the cost of maintaining all those physical equipment as in the case of PSTN connection. All the necessary features required are delivered over your Internet and LAN. Also, an organization can select appropriate packages from service provider according to the usage and budget limit. This significantly reduces your expenditure.

If you opt for an on-premise IP-PBX, you again save money. You can use your existing LAN infrastructure to install the IP-PBX. Your laptops, desktops can become end devices. The cost of the IP-PBX is more than compensated by the features such as DID, voice mail, and such. There is no need for a telephone operator unless you are looking for a completely professional environment. And being computer based, an IP-PBX can be programmed to your liking.

Multiple calling facilities:

A traditional PSTN telephone system generally allows only a two way talk at a particular time. In VoIP business telephone system, multi calling feature including conference calling and group calling are available. This is an important advantage to most businesses.  This lets user avoid the waiting time to make a call and discuss with colleagues and partners. This also makes it easier for management, employees, administration and business associates to communicate with each other and also with the clients.

Improved voice quality:

VoIP business phone system outperforms traditional phone system when it comes to call clarity and resilience. The smooth and stellar voice quality which is available with VoIP is very essential while communicating within or outside the organization. With good Internet connection, the same voice clarity will carry across the world.

Large number of features:

Besides supporting multiple simultaneous calls, VoIP provides several useful features which are not included in traditional phone system. These features may vary depending on the service provider chosen, but the most of them have some common features as listed below:

  1. Caller ID
  2. Call forwarding
  3. Call waiting
  4. Call blocking
  5. Voicemail
  6. Fax
  7. 411 directory
  8. Last number redial

Some service providers and products also deliver advanced features including call transfer, speed dialling, return call, SMS service and area code selection. All these features are included in a single VoIP connection and that too at an affordable cost.

Mobility

Easy accessibility to the end user is a common issue for many business organizations. VoIP technology offers mobility options to the business. VoIP mobility streamlines the sales staff as well as technical support to create more cohesive communication throughout the office. VoIP mobility is the ability to use VoIP service also while moving from one place to another without any discontinuation of service.

Other than the benefits sited above, there are also innumerable advantages of VoIP technology for development of business.

Don’t delay moving to VoIP as your primary communication medium. Call us today and we will help you make the transition smoothly.
